River and Mercantile (R&M) is an Asset Management business with a broad range of services. Our activities currently focus on Equities and Infrastructure serving a global client base of institutional clients and wholesale and retail financial intermediaries and strategic relationships.

Job Summary

The CEO requires an Executive Assistant to work alongside him and the Group Commercial Director. A demanding role both supporting the Executive Director and his delegates to help the business grow.

The EA needs to be adaptive and supportive of change and sufficiently experienced to build relationships. Proactively taking ownership of tasks and projects, providing both support and taking initiative with ideas, and playing a critical role in managing all routine and daily administrative tasks as a EA. High performing and fast thinking, ensuring everything is planned to the last detail. Prepared to go the extra mile to ensure their boss’s life runs smoothly.

Specific activities and responsibilities required

Key responsibilities & accountabilities (including but not limited to the following)

  • Diary management, using own initiative to manage email accounts and maintain inboxes to promote efficiency / own CEO calendar
  • Draft correspondences and comms for CEO
  • Amend documents and PowerPoint slides for CEO packs/teams
  • Weekly ExCo – member of ExCo, ensure meetings are scheduled accordingly, take actions and track action log accordingly
  • Organise and attend weekly / fortnightly team meetings, producing minutes and action points
  • Work closely with Business Partners on behalf of Executive Director (HR, Risk, Front Office etc)
  • Supporting with ad-hoc day-to-day projects or initiatives
  • Assist Marketing team with drafting internal and external comms for CEO
  • Develop strong relationships with external business colleagues and senior level clients
  • Travel arrangements (international, domestic, Visas, Taxi's etc)
  • Ability to manage Junior Admin Staff
  • Build and maintain a good relationship with both AssetCo CoSec and Board Members as CEO’s point of contact. Ensure all CEO updates/papers are collated and produced within a timely manner ahead of any Board updates required.
  • Planning internal events/dinners/conferences/networking events/forums/speaker and panel events. Help with liaison, invitations, guest lists, responses, and resource requirements.
  • Admin; holiday bookings, expenses, CMO, gifts and hospitality
  • Approvals; expenses, travel, holiday absence approvals etc. on behalf of CEO
  • Crib sheets for Monthly All-Hands Town Hall

Business awareness/Compliance

  • Comply with relevant FCA rules and regulations, and River and Mercantile policies as they apply to the jobholder, including adherence to FCA Individual Conduct Rules.
  • Builds upon understanding of the various aspects of the RMG business and develops relationships with all employees across various functions.

Competencies

Knowledge & experience

  • Proven experience of providing Executive and/or Board level support
  • Recent exposure to working within financial services
  • High level proficiency in Microsoft Office suite, particularly Outlook, Excel, and Power Point with the aptitude to learn and utilise a wide range of software
